As we grow up, we all participate in countless roll calls. Familiarity with checking off your attendance to events and classes over the years will come in handy when putting a process in place to track attendance at your nonprofit. In yesterday’s blog post, I touched on capturing student data correctly at the initial point of contact. Once students are properly signed up for classes or programs that your organization offers, be sure to have a check in system in place to keep up to date information on what classes are being attended, by what students, and for how long.
Simple Check In
When supporters and students attend a program, make a quick and simple form for each to complete when arriving. Note their name, to which program they are attending, and the time they arrive. Have an application for new students readily available near this form. The check in form can be completed on a tablet or laptop; this way, all details from the confirmed attendance can be populated into your data management system.
Routine Process
Make sure to have the check in form available every single time a student arrives. Before you know it, confirming their presence will be a part of the routine of arriving to the site. Tracking attendance effectively will lead to better reporting of what programs have more interest, what individuals are most involved, etc.
Excellent Reporting
Precise details, from student contact and attendance information being current, leads to the best report results to share with your team and board. More accurate results allows your organization to plan for future programs, events, and classes in a more prepared manner.
